Round 8 SIGN-UPS have arrived!

Round 8 Sign-Ups for the final year of hd_holidays ARE OPEN!

SIGN-UPS ARE NOW CLOSED! The final list of participants will be posted on Tuesday, July 31st.

This is the official sign-up post. Sign-ups will run until July 29, 2011 at midnight EST (so ending Sunday night). Proxy sign-ups ARE allowed if you can't make that window, but as sign-ups are NOT first-come first-served, there's less urgency in signing up early. Assignments will be sent out by August 11th.

The Rules

1. Fanfic/fanart should be:

  • At least 1,500 words in length, beta-read/free of spelling and grammar issues. Artists have no minimum requirement, but should think of the "under 1,500 words" equivalent as something that is merely a sketch or done in MSPaint. In either case, you should put real effort into your gift!

  • It should also contain any and all HTML that you wish included (such as italics). We will NOT go back and edit these in for you; your fic will be posted as it is received.

  • Your fic cannot be part of a series, or a sequel to a fic.

  • It must be based on the prompt originally assigned to you. No switching prompts/recipients or having someone write fic for your art without consulting with the mods first.

2. Participant caps:

Authors - 90
Artists - unlimited

There will be two lotteries for the authors:

  • one for returning participants (no matter how many times they've done the fest before),

  • one for new people (who have never participated before).

Ideally we will end up with an equal amount of both returning and new authors, but depending on how imbalanced the sign-ups are, we reserve the right to alter the ratio accordingly (would only ever happen if we received less than 45 eligible returning member sign-ups, which we do not anticipate happening). Additionally, if the mods opt to participate, they will not be counted (i.e. won't be taking away slots from the max participant count).

And yes, artists are unlimited. We are greedy for art! As it utilizes virtually zero time for the mods, we will accept any artist into the fest provided they meet the submission guidelines as laid out above (i.e. stick figure art won't cut it). You also need to be an established artist! Please do not use this fest as your initial foray into the art world. We will be checking on those who we are unfamiliar with, so if there is no art or link to art in your LJ, we will be emailing you to ask for examples of your work (this helps us to pair you with someone we know will appreciate your unique style).

All submissions are due by OCTOBER 21st. That gives you TEN FULL WEEKS to complete your assignment. If you cannot meet this deadline, the mods must be informed as soon as you are aware of any conflict that would prohibit this! Which brings us to...

3. Extensions:

  • If you request an extension, you will be required to show us your work in progress. I don't care if it's scans of your notebook that you've handwritten the fic in - we need a show of good faith that you haven't been yanking our chain for a month only to turn around and drop out in mid December. This is not meant to sound harsh or mean, but we think it will be easier on the folks who are so convinced they will finish, stress themselves into a frenzy, only to bail last minute without so much as an opening paragraph...won't happen, because you will be dropped from the fest prior to that point.

  • Extension requests without an attachment will be ignored. The WIP rule will not be ignored this year as it was a handful of times last year, because we got burned. If you forget to attach it when you email us for an extension, we will reply one time asking for proof of progress, and if we do not receive it, your next notification will be that you've been dropped from the fest.

  • We reserve the right to say no, you cannot have an extension, based on the WIP received and the date that it is received. If you come to us for a second extension request on November 15th with only two paragraphs that are riddled with SPAG errors, you likely aren't going to get that second extension, and may be dropped from the fest.

  • It will be extremely rare for us to issue more than two extensions to a participant. This will be determined based on WIP received, circumstances, prior history, etc.

  • The mods assume the right to approve and deny extensions (and multiple extensions) as they see fit. Behavior from the past rounds of hd_hols will have a bearing on how lenient we are with your extension - if you strung us along last time, we are less likely to be generous. That said, we have never turned anyone down for a first extension request, or even a second one, but we are not afraid to boot someone who we suspect is stringing us along.

4. Anyone who dropped out of hd_hols round seven (winter 2011) is not eligible to participate depending on your circumstances last year. If you are not sure whether or not this includes you, please email any of the mods at hdhols-at-gmail-dot-com. Obviously if you got really sick, your kitty died, something like that - we aren't going to hold that against you and keep you out this year. EMAIL US IF YOU HAVE ANY DOUBTS ABOUT YOUR ELIGIBILITY. Anyone who dropped out of round six (winter 2010), however, can have a second chance, but you will go into the new person lottery regardless of how many times you've participated in the past. Also, if you are known to be a frequent sign-up-and-bail, we may not allow you to participate. If you have any questions whatsoever regarding your eligibility, please contact us! We would rather you be certain than lose a possible participant.

5. Submissions should be emailed to hdhols at gmail.com. You can also contact taradiane or dysonrules directly with comments and questions, though we strongly prefer that you use the mod email as it helps us keep track of all communications with participants. This is extremely helpful if a mod has to go offline for a few days (or more), and that happens to be the mod you sent a PM to with an urgent question.

Please think very carefully before you sign up, and please only do so if you can make the commitment. This is the final year, and we've maxed out the participant cap in order to let in as many people as possible without overloading the mods. While we are here to have fun and spread joy, it is not a throwaway responsibility, either. The mods count on you as a participant to fulfill an obligation, and if you drop out, it does not only affect you and the person you were writing/drawing for. Remember, someone was writing/drawing for you, too.

Read the guide to being a good fest participant for starters. Especially you first timers! Think about your own writing abilities, how fast/slow you write and how good you are at meeting deadlines, because there is nothing more frustrating to a mod than the flaky and inconsistent. We do our best to cultivate a reputation for excellence, and count on all involved to make the fest as good as it can be.

If you are a FIRST TIME participant, please put FIRST TIME in the subject line of your comment. This will help us sort through all sign-ups for the dual lottery, and to crunch the numbers. Artists, disregard this! ETA: If you do not see a subject line (depending on which style you're viewing this post in), then simply state it's your first time at the top of your sign-up.

Please fill in every required field, and please include some prompts that lend themselves to artistic interpretation in case your gifter ends up being artist. Give some visual scenarios/ideas. Prompts are welcome, but your gifter is under no obligation to write/draw that specific story! So please make sure to be as detailed as you can in your likes/dislikes (and squicks) portions of the sign-up...vague sign-ups are a double-edged sword, my friends. Your gifter is given free license to do whatever they want, but if you don't like it you've no one to blame but yourself. ;-)

Proxy sign-ups ARE allowed, so if you are going to be away during the sign-up period, you may ask a friend (or the mods) to sign up on your behalf.

You MUST put your age/make an age statement. No one under the age of 18 can write/draw and/or receive NC-17 work. Those under 18, however, CAN participate. Please help us stay on LJ by following this rule!

Please note that you should use the field regarding Era/Epilogue/Next Gen preferences to note whether you'd like epilogue compliant fic, fic set during DH canon, after the end of the war but before the epilogue, etc. Basically give your writer/artist guidelines for how they should take into account Deathly Hallows canon when creating your gift. You are also free to note here that you'd like a complete AU fic that disregards DH altogether.

Last, but not least, as with every other year we do expect to have fic outweigh art by a considerable number. We've altered the sign-ups slightly this year as a result. We ask that you try and be flexible in what you'd like to receive and please fill out both prompt sections regardless of your personal preference. We are no longer asking if you prefer fic or art. If your likes/dislikes/squicks run the same for fic and art (we know that is not always the case), then feel free to simply state as much in the relevant section, but prompts are ALWAYS encouraged (no need to be overly specific, a few keywords can do wonders for an incubating plot bunny!). We will, of course, do our best to pair you up with the perfect gifter based on your likes and dislikes, and if you've received art previously you likely won't get it this year.

You've trusted us year after year to pair you up with the best possible recipient and gifter, and we merely ask that you trust us again this one last time. I know that some of you feel strongly about whether you get fic or art, and if you feel that in prior years you've been overloaded with one versus the other, than by all means say so and we will do everything we can to give you what your heart desires - we want you to be happy, after all!
